There are different types of "inventory" that exist in IQ. It is important to follow the correct protocol when creating and using these items. These include:
- Paper
- Plates
- Raw Materials
- Ink
- Manufactured
- Miscellaneous
They are found in the Admin/Inventory/Items area under item types:
Paper (Stock)
These are printed substrates such as paper, coated boards, foam core, vinyl rolls, and aluminium boards.
Papers appear in the quotes and are chosen from the STOCK/PAPER menu in a custom quote:
Paper Inventory Items are created when the stock item is created - do not create Paper Inventory Items individually, as they will be orphaned and not connected to any actual item. Allow the system to create the inventory item for a Paper/Stock.
The inventory code corresponds to the Stock x Stock Size Code in the paper file:
And the Inventory Code in the Bulk Upload or Export CSVL
Paper Inventory Types are sortable on the inventory items board, yourinstanceofIQ/inventory/items.aspx
Stock Items can be "managed" so they are tracked in the inventory reports. This means you will order, receive and withdraw them (either manually or automatically) during the process of a job. Managed items keep track of the amount of the item in stock, and where it is located in the warehouse, or which locations it can be found in, throughout your warehouse or sites.
Once an inventory item code is created, it can be edited, but you should not create an inventory item code on its own.
Plates
No longer Used. Plates are created as Raw Materials.
Raw Material
Raw materials are items such as eyelets/grommets, wire coils, laminates, and plates, which have calculation methods against them, and can be added to components within operations, or used in "material only" operations. This will include the price of the material inside the operation costing. (Related Article: Materials Admin/Raw Materials).
Raw materials can be added one at a time Admin/Configuration/Materials Admin screen, or can be bulk uploaded using a bulk upload.
When you create Raw Material, this will create the associated inventory item against it, which will then be sortable in the inventory items screen. Do not create an inventory item for a Raw Material by itself, as they will be orphaned and not connected to an actual inventory item. Allow the system to create the inventory item for the Raw Material. Raw materials inventory items can be viewed in the inventory item screen:
Raw materials can be "managed" so they are tracked in the inventory reports. This means you will order, receive and withdraw them (either manually or automatically) during the process of a job. Managed items keep track of the amount of the item in stock, and where it is located in the warehouse, or which locations it can be found in, throughout your warehouse or sites.

If you want to create items that you order by purchase order, but do not want to see under your papers/stocks, or Material Only Operations, it would be best to create them as RAW MATERIALS. They can be purchased using POs, received, but do not have to be managed. The purchase invoices can be pushed to accounting.
Ink
Ink inventory items are created when you add an ink (Admin/Configuration/Inks) or yourinstanceofIQ/FactoryAdmin/Inks.aspx. These can be used to generate purchase orders for the inks, using the correct supplier codes. The inventory Item Code connects to the Ink Name when you create the ink:
Once you create the ink, it sits in the Current Inks List:
Do not create an inventory item for an Ink Inventory Item by itself, as they will be orphaned and not connected to an actual inventory item. Allow the system to create the inventory item for the Ink Inventory Item. When you create an Ink, this will create the associated inventory item against it, which will then be sortable in the inventory items screen.
Note: Once you create an ink, you cannot edit the NAME in the ink table; however, if you go to the inventory item, you can edit the ink CODE here, which will write back to the NAME in the ink table.
You should not bulk upload your inks into the inventory table, as you cannot define their unit, or the calculation of usage per square foot or square meter.
Manufactured Material
This is for manufactured items that can then be included in quotes in "Material Only Operations". For example, ‘badges’ that may need to go into a pack for mailing.
Manufactured materials can be bulk uploaded or created directly in the inventory item by clicking the create new item button:
When you create a Manufactured Material, the CODE becomes the inventory item code, and you choose what location the inventory resides in:
You can choose which operation category it will appear under (ie, quoting category), and when you create a Manufactured Material, it will create a material-only operation automatically:
Like a Raw material, you can choose the calculation method to be used when calculating how much of this material will be brought in to the quote:
These items can also be added to component records of operations, but technically, those items should be RAW MATERIALS.
Miscellaneous Item (Sales Item)
Miscellaneous items are created when you create a store item either directly through Create a New Item or when you bulk upload store items.
The CODE in a Store or Sales item becomes the miscellaneous inventory item code. However, this is the one time you can connect a miscellaneous item code to an existing inventory miscellaneous item.
When you see this drop-down, you can pick an existing code:
