Dispatch Board - Freight by Product

Overview


This article covers the Dispatch Board for systems configured to price freight by product (‘Old’ Freight). For systems using freight by cart, refer KB article Dispatch Board – Address (Cart) Based

‘Freight by Product’ is basically a freight entry per product or one single delivery for all products on the order.

The Dispatch Board displays delivery details for all deliveries in the system.
The results returned can be filtered using the comprehensive filter sets at the top of the board.

Downside of moving from Freight By Cart to Freight By Product.
  1. You will lose functionality for kits
  2. Freight price charged to customer will be more expensive compare to Freight by cart.
  3. Lose functionality for IQ Campaigns.
  4. Need to update the existing quote letter to cater for Freight By Product Scenario
  5. When you consign jobs/items, instead of merging it together, IQ will dispatch in line by line

Dispatch Board

The information displayed on the board can be controlled with the board Column Selector, to the right of the search field:



The Dispatch Board is customisable on a per user basis, allowing users to set what columns are displayed and hide information that may be irrelevant to them by enabling each column they wish to include in their view. Clicking ‘Reset’ resets the columns back to the factory default as depicted below:



The only permanent fields on the board are the ‘Reference’ field and the drop-down ‘Eye-Glass’ action selector:




Board Columns

  1. Customer: Customer name
  2. Terms: Customer billing terms
  3. Address: Delivery address for the contents of the dispatch
  4. Contact: Delivery Contacts’ initials
  5. Delivery Type: Delivery Type as defined under freight admin and freight integrations.
  6. Quantity: Delivery Quantity
  7. Courier: Freight supplier for the delivery
  8. Invoice Status: Yes / No
  9. Delivery Days: Number of days to deliver to destination.
  10. Expected Date: Due Date plus Delivery Days (allowing for weekends)
  11. Connote: Consignment note assigned to the delivery by the freight supplier
  12. Tracking Code
  13. Due: Date the delivery should leave the factory
  14. Progress: Coloured progress bar depicting the status of the delivery

Board Filters


Filter options at the top of the board allow limiting the list to deliveries with specific Dispatch Statuses, Production Locations, Sources (Sales Order, Job and / or Campaign), Courier and Delivery Types.
When no filters are selected in a tab, printIQ behaves as if all filters in that were selected. Using these filters with each other allows a very granular view of the deliveries.
The funnel button toggles the filter options visibility:



Various filter combinations can be saved per user and recalled with just a couple of clicks enabling quick access to specific deliveries.

To add a ‘Saved Filter’, select the filters in each tab as you want to save them.
With no filters selected in a tab (eg. Locations and Sources below) there are no restrictions from that filter tab applied to the results.
Deliveries for all (Factory) locations, from all sources (Jobs, Sales Orders and Campaigns) being shipped by freight provider UPS using any Delivery Type and, with dispatch status’s that are not ‘Pending’ or ‘Dispatched’ are brought through onto the board.



To save the filter, click the   on the ‘Saved Filter’ selector to create a new filter:


Give it a unique name.
The selected filters are shown in their respective groups below:



Selected columns are not saved with saved filters.
The selected columns will be displayed irrespective of which saved filter are used.
The selected columns to view are saved against the current logged-in user.

With ‘Admin’ rights, saved filters can be flagged to be ‘Shared with Staff’.
This makes them available as pre-defined filters for application users.
When not set to Share with Staff, the default option is ‘My Default’:



When Share with Staff enabled, ‘My Default’ changes to ‘Default for Staff’:



Any filter can be set as the default filter which will be the filter applied when the board loads for the logged in user.

Results can be further restricted by ‘Jobs due for today’ or ‘Jobs due for tomorrow’.
Alternatively, a date range can be applied to the results of the filters.

These date range settings are not saved down with Saved Filters


Dispatch Board Action Bar


The Action Bar is activated when one or more deliveries are selected. Options are:
  1. Change status – Updates the status of one or many selected deliveries to the selected status.
  2. Dispatch Selected – Only active when one delivery selected or multiple deliveries with the same address.
  3. Export Selected – Used for exporting delivery details for import to Freight Suppliers for bulk delivery processing. Only active when deliveries for the same freight supplier are selected.
Change Status is not available on completed deliveries for completed jobs or orders.

Change Status is available whenever any delivery is selected on the board.
If multiple deliveries of different statuses are selected and then updated via the action bar, all selected deliveries are updated to the status selected by the user:



Clicking Update Status opens the change status modal selector:



On clicking Update, a message is presented:



All selected deliveries are updated to the status selected:



Dispatch Selected is active when deliveries for the same address are selected.
To filter deliveries for the same addresses, select the drop-down next to a delivery with the address you wish to search for and select Filter Address:



The address of the selected order will be used to filter the retuned entries and a message is displayed across the filter area. To clear the Filter Address, click the ‘X’ to the right of the message:



Export Selected (if configured) allows a CSV file to be generated for the selected deliveries, to be sent to the freight supplier.
This button is only active when all selected deliveries have the same courier.
To assist with this, the Couriers filter tab allows you to isolate delivery entries for a specific freight supplier.

Select the deliveries to export:



and click the Export Selected drop-down to select the report format to export to:



A CSV will be generated from the selected delivery entries for importing to your supplier’s system for bulk processing.

The drop-down menu for each delivery offers the following 6 options:



Details: Opens the job or sales order.
Change Status: User can select status to set the delivery to.


Filter Address: Filters to other deliveries going to the same address.
Print Labels: Opens the Dispatch Labels modal to produce box labels.
Print Labels and Create Consignment: Opens the Create Consignment modal.
Create Labels and Consignment: Opens the Create Consignment (Advanced) modal.
