Customer Portal - Usage (BETA)

Customer - Default landing page Overview

The Customer Portal Dashboard is a central landing page for customer users, giving them a single place to see outstanding balances, pending quotes, orders in progress, recently shipped orders, and their most-ordered items — along with quick access to the most common actions like paying invoices and starting a new quote.
This article covers the portal layout, each section's behaviour, and the settings that control access and navigation.

Access and Navigation

The Customer Portal Dashboard can be reached in two ways:
Home menu button — visible to all users (staff and customer), navigates to whatever page is set in the user's landing page setting.
Customer admin screen (dashboard page) — a globe icon to the left of the dashboard link, separate from the main button group, opens the Customer Dashboard in a new tab.



Landing Page Settings        

Global settings located at:
      Admin => Customise => Settings => Global => Landing Page



-Default landing page
      Sets the Default Landing and Home Button page for Internal (Staff and Shop Floor) users
-Customer - Default landing page
      Sets the Default Landing and Home button page for Customer Users

The Default Landing Page can also be set at the individual user level in User Details -Customer - Default landing page



Portal Layout

The dashboard is made up of the following sections, from top to bottom / left to right:
Header — customer name and account manager
Outstanding Balance and Pay Now actions
Overview, Quotes, Orders and Invoices portal tabs.
Summary tiles — Pending Quotes, Orders in Progress, Needs Attention
Orders in Progress — most recent 10 orders
Most Ordered graph and Reorder list
Recently Shipped



Heading Section

The heading displays the customer name and their assigned account manager. Clicking the account manager's name expands to show more detail, including their email address and phone number.

Outstanding Balance and Pay Now

The Outstanding Balance and Pay Now displays:
Total Outstanding balance — shown in bold
Overdue balance — shown as smaller text below the total
A “Pay Now” actions bar sits alongside the balance:

Portal Tabs

The Portal Tabs provides a quick and convenient method of navigating between customer related items.

Summary Tiles

Three tiles give an at-a-glance summary of quotes and orders needing attention.


Pending Quotes
Shows the total quantity of quotes with status “In Process”, “Printed”, “Awaiting Acceptance”, or “Awaiting Approval”.
Clicking the tile opens the Quotes tab with the “All Pending” filter selected.
Pill — In Progress: quotes with status “In Process”, “Printed”, or “Awaiting Approval”.
Pill — Awaiting Acceptance: quotes with status “Awaiting Acceptance”.

Orders in Progress (Tile)
Shows the total quantity of accepted orders currently being worked on — excludes dispatched or cancelled orders.
Clicking the tile opens the Orders tab with the “All in Progress” filter selected.

Needs Attention
Shows the total quantity of orders with “Proofs Pending” or “Artwork Pending”.
Clicking the tile opens the Orders tab with the “Needs Attention” filter selected.
Pill — Proofs: orders with proofs sent to the customer but not yet approved.
Pill — Artwork: orders with proof operations that have no artwork files currently attached.

Orders In Progress (List)

Below the summary tiles, a list shows the 10 most recent orders in progress. A “View All” button takes the user to the Orders tab, filtered to “All in Progress”.
Each row shows:
Base order number and the first product's title
A “+2 more” style pill when the order has more than one item — the number excludes the first item already shown (e.g. an order with 3 items shows the first item plus a “+2 more” pill)
Status — the furthest-back status of anything on the order
ETA date — dispatch date plus delivery days

Clicking the order number opens the customer-facing Orders board, for customer users, filtered to all items in that order. For internal users, printIQ refers to the users 'Post Acceptance Page' setting in their user profile.
Clicking the “+more” pill opens a popup summary listing every item in the order (item name, quantity, price) with a total at the bottom.



A 3-dot icon on the right offers further options, shown only where accessible to the user:

Most Ordered & Reorder

Most Ordered
A single tile displaying a graph of the top 5 items — from the Product Catalogue and Simplified ordering — that the customer has ordered historically. An “item” is one row on the Product Catalogue or a Simplified Category, ranked by total quantity historically ordered. This occupies roughly the top third of the right-hand side of the dashboard.



Reorder
Below “Most Ordered”, a list shows up to 15 of the top items ordered, using the same ranking logic as the Most Ordered tile. Clicking the “Order” button next to an item adds it directly to a new quote.


Recently Shipped

Shows the last 3 orders shipped within the last 14 days, each with its consignment number. A “View All” button takes the user to the Orders tab, filtered to “Recently Dispatched,” to see more than the last 3 orders.


Each entry shows:
Order number
First job title, with a pill indicating item count (same style as Orders in Progress)
Dispatched date
Consignment Status
Clicking the truck icon opens the delivery details.
When tracking is available and configured on your freight integration, the tracking link will open into the carriers tracking website in a new tab with the tracking code loaded.



Where an order has more than one delivery - indicated by a suffixed number on the truck icon , after clicking the truck icon a list of deliveries to select from is presented.



Portal Tab Views

Three tabbed boards are displayed directly below the dashboard header. The Quotes and Orders tabs use a simplified, dashboard-friendly version of their corresponding customer-facing boards while maintaining the same core functionality. The Invoice tab provides the user with access to list the invoices, download them, send a payment link and pay for them.
Each board displays up to 10 entries per page, with pagination available when additional entries exist.

Quotes Board

Lists all pending quotes, with the total quantity shown above the board. A “View All” button opens the full Quotes board.

Row actions:


Checkout — takes the user to the Order Detail page.
3-dot menu → Decline — opens a popup with a “Reason for declining” text field and “Cancel” / “Decline Quote” confirmation buttons; confirming rejects the quote.


Orders Board

Lists all orders in progress, with the total quantity shown above the board. A “View All” button opens the full customer-facing Orders board. The Status column always shows the furthest-back status of anything on the order.

      ● Invoiced — shows a red X when no invoice exists, an orange half moon if the order is partially invoiced or a green tick when fully invoiced.

A 3-dot icon offers further options, shown only where accessible to the user:

When one or more invoices are selected via checkbox, an additional action bar appears:



      ● Pay Selected                       Navigates to the Payment Gateway and creates payment for all selected invoices
      ● Download Selected           Downloads all selected invoices as PDFs
      ● Send Payment Link            Sends a payment link for the selected invoices

If multiple invoices are selected and Send Payment Link is used, the Email Invoice modal has a switch to allow you to send one payment link for all selected invoices.
Email Per Invoice toggle — OFF sends an email with a single payment link for all invoices.


ON sends an individual email per invoice; 


Actions Summary

From the Customer Dashboard, a user can:
Reorder common items
Pay their outstanding invoice balance
Pay individual invoices
Link through to quotes
Link through to orders
Start a new quote

Access Restrictions

When the user setting 'Restrict to own quotes/orders' is enabled in user details...



The restricted user will only see:
  1.  Quotes created by themselves.
  2. Quotes where they are the account manager
  3. Quotes where their default contact is the quote contact (user details setting)
  4. Orders accepted from these quotes
  5. Related invoiced and deliveries
The Outstanding Balance is also restricted to the outstanding invoices for this users orders.
