Managing Expired Stock in IQStore

Designed primarily for IQStore items, Inventory Items can have an expiry date set when the goods are received.
In order to apply it, you need to set an expiry date against the Purchase Order Receipt or in Inwards Goods.

Inward Goods:





You cannot set an expiry date when making stock level ‘adjustments’. You must use the Inwards Goods or Purchase Order Receipt.

Use the ‘Lot’ option to access the ‘Expiry’ date


On the inventory board, items containing expired quantities are flagged:




*Note: When ordering, the expired quantity will be excluded from the ‘in stock’ qty:


When picking a sales order, printIQ works on a FIFO pick order – First In, First Out.
With Sales Orders, you can manually change the status from ‘Confirmed’ to ‘Packed’.
This will result in printIQ auto ‘picking’ all items on the sales order and updating the order on the Dispatch Board ready to dispatch.


However, if any of the items on the sales order include expired items, printIQ will not pick the order and will prompt you with a warning:


Click the ‘Pick’ button to draw the required quantity:


As expired items are present, you will see the following option:


Selecting to ‘Use Expired Items’ will pick any expired quantity to fulfil the order.
If you choose to ‘Skip Expired items’ you will be prompted about placing the remaining quantity on back order.
Answer “Yes’ to split out unpicked items into a Back Order:


Set the Current Order Status to ‘Packed’ on this modal:


This will set the order status to ‘On Backorder’ and leave the outstanding qty still to be picked:


Alternatively, if you didn’t answer ‘Yes’ to the prompt on the last item you can create the backorder by clicking the ‘Split Remaining’ button.


Inventory Management of Expired Stocks

The inventory item includes a ‘Disposition Code’ that describes what is to happen to any expired stock.
This is purely an informative field and does not change the behaviour of IQ in managing the inventory item.


On the Inventory Board, there is an additional filter for Expired Stocks.



Periodically you will need to review stocks with expired items and if required, remove the expired items from inventory:
