Stock – Multiple Inventory Locations

Introduction

Paper stocks can be configured, through the Supplier Records to be linked to multiple factory locations and suppliers.
In addition, when quoting, it will preference stock held in your user tagged ‘default’ Factory Location.  To achieve this, we have created a link between Factory Locations, Inventory locations and User Factory location.

How to Set-Up

User Configuration - Factory Location

In User Details there is a Factory Location selector.
Set the Factory Location according to where the location the user works from:



Once the factory location on the user is set, the Production Path on quotes they create will be based on this Factory Location setting.
This can be changed at quote time.

Inventory Location - Mappings to a Factory Locations
In Inventory Locations, create a top-level location entry for each factory.
Top-level locations have an optional Factory Location selector. Select the appropriate Factory Location from the drop-down list:



Create a new ‘Location’ for each factory and map them accordingly:



Stock Setup
From the paper stock, against the individual size options, access the ‘Inventory’ details through the button on the right:


This is where you configure additional suppliers and locations:


In the above example there are two suppliers the stock is ordered from, Spicers West Coast and Spicers East Coast.
We also have a factory location set for each site to receipting purchases into.

Quoting


When quoting, the default production location is pulled from the user configuration.
You can see this set against the quotes ‘Production Method’:


This immediately defaults the quotes production paths to the specified factory location.
This can be manually changed via the location dropdown:



Or by selecting an alternate path from the quoted path list on each section:


Once a stock is selected, the QoH hint can be used to view the quantities of all sizes of that stock in all its locations:


Clicking the spanner next to the stock selector opens the Stock Information drop-down:


When the Size is set to ‘Auto’ (its default value on quote creation) the quote will automatically price
qualifying stock sizes whose suppliers are linked to the same factory location as the quotes’ Production Method,
or do not have a location set against that supplier in inventory.

Clicking in the drop-down, you can select a specific sheet size to use:


Once the size has been selected, the Supplier / Unit type selector displays.
This shows the Suppliers, the Supplied in Unit Type and the Factory Location for each supplier of the selected stock size:


If the selected supplier is linked to a different factory location, a warning is displayed depicting a conflict between the Factory and Inventory Location.
This does not prevent the quote from pricing. It is displayed as a warning to notify the user as the conflicting settings may be intentional.


Correcting the location selection removes the warning


The ‘Paper Stock Draw’ depicts the Supplier and Production Location:


Production

When a job is created, the ‘Factory Location’ is set from the products Production Method on the quote:


If the quote is accepted with a mis-matched stock and production location,
the ‘Factory Location’ is highlighted with the warning displayed


In the Stock Pick screen, you can see the quantities held at each location:


If the selected location is linked to a different production location, a broken link indicator shows next to those locations:


If selected a small orange warning is shown next to the location field:


If an Inventory Purchase Order is raised from the Stock pick screen:


The location on the Purchase Order will match that set on the stock pick screen for that stock (even if it is at a different factory).
This will also be flagged with a warning icon next to the location:


This can be changed on the purchase order to a linked option if required before it is saved.



The Job Bag will show the Factory Location under the delivery address:
