Generate, Edit, Upload CSV
Click on to download a CSV Sales Order Upload Form from the Bulk Upload screen.
This will open a new tab with the Customers list screen showing.
Filter for the group of customers that you wish to use in the Sales order upload. This may be made easier, for repeat sales order uploads by creating Customer Groups (see ‘Customer Groups’ in the Knowledge Base for more on Customer Groups)
This template can be edited and any customers exported but not required can be deleted from it.
A separate row must be used for each sales item being ordered by a customer. This means that you may have to duplicate the rows on the CSV template if you wish to order more than one item for each customer.
Columns marked with an asterisk are mandatory – a lot of the Customer Detail columns will be pre-populated.
There are optional Purchase Order Number and Purchase Order Ref fields available on the CSV. The PO Reference, when made the same for each uploaded CSV of sales orders, helps simplify the filtering for those sales orders during the following processes.
The Delivery method is one of the Freight Types that is defined in printIQ.
It must have a matching Weight and Post Code range to be inclusive of the sales item it is entered against.
Once your upload CSV has been created and edited, you are ready to upload the Sales Orders and process them thru the system.
UPLOAD SALES ORDER CSV
Navigate back to the Sales Order Upload screen and ‘choose file’ and point to the CSV created and edited above.
Once selected, click Verify.
This verifies the details in the CSV and will NOT proceed unless everything passes this validation.
Once verified, you should receive the following message
Click Upload Sales Orders to create the sales orders.
Depending on the number of sales orders this may take a few seconds.
The results should look like…
(BULK) PROCESSING SALES ORDERS
Going into the Sales Order Board, you will see the new orders:
The sales orders are basically at a ‘Confirmed’ stage. In order to progress them through the system they need to be Picked and Packed.
This can be done at a ‘bulk order’ level. Filter the orders to include just the orders uploaded. This is facilitated by the Order reference mentioned above - if they were all set to the same value.
Once the list has been filtered, click the square ‘Select All’ tick box on the column title bar to select all visible orders:
Next click the 'Update Status' button on the task bar to open the 'Update Multiple Statuses' modal:
Select ‘Packed’ in here to mark the Sales Orders as being ‘Picked and Packed’.
Two things occur:
Open the Dispatch Board under the Production Menu.
Select all relevant sales orders (Use the filter or manually tick them) or deliveries. Click the ‘Dispatch Selected’ button to dispatch the selected deliveries.
Select the Courier for these orders and optionally a Consignment Note reference…
The delivery status and order status will now be complete.
You are prompted for the status you want to set the new invoices to – Draft or Approved:
And ‘Confirm’. IQ will report on how many were created:
If there is already an invoice for a selected sales order, a new invoice is NOT created:
