How to convert quote into Recurring Jobs

You can turn a quote or job into a ‘Recurring Job’ from two different places.
1. From within the QUOTE – On the ‘Accept Quote page:


2. From the Quote List Screen– Under the action list on the ‘All Jobs’ page click the ‘arrow’ and ‘Recurring Job’ from the dropdown:





Either method will open the ‘Recurring Jobs’ screen where you can enter the recurring job details:
Warning
Shipping must be completed before you can create recurring jobs


Recurring Jobs Details

Click creating Recurring Jobs will open this window.


Step 1. Select Product Quantities
You will see a description of the job. You need to select a quantity.
If there is only one qty as part of the quote you will only see one option.

If multiple quantities have been quoted, you will see all the options

Step 2. Recurrence pattern for due dates
Use the options to set the recurrence pattern for the jobs:
Daily options


Weekly Options

Monthly Options:

Step 3. Range of recurrences for due dates
Use the options to select the starting date and enter either: the number of recurrences or an end date.


Step 4. Print Date
This adds a ‘Print Date’ to the job. For this workflow, we will be using the ‘Print Date’ as an ‘Activation Date’.
Data will use this date as an indicator of when they need to turn the job from a ‘Draft’ to a ‘Live’ job so work can commence.
You need to enter the number of ‘hours’ before the job is due to dispatch that data work needs to be commenced on the job:



Step 5. (Optional) Specify starting job number and suffix


Notes and Create Schedule:
You can add notes to the job and Create Schedule builds the jobs from the information input:


Recurring Jobs Example

In this example I have:
  1. 3 Items with Multiple quantities
  2. Set a re-occurrence of every week on a Monday.
  3. Set to start on 1st October 21 and run for 4 occurrences.
  4. Set the print (Activation) date as 96 hours (4 days) before the job is due



When I click "Create Schedule," it tells me, it will create 12 jobs.


Click ‘Create Jobs’ and IQ generates the jobs.
A list of the new jobs will show on screen.
You will see the jobs have a suffix starting at ‘.001’ going up to the number of jobs you have created.
The jobs are created as ‘Draft’ jobs initially.

A draft job is not  live  for production until you activate the job.




Notes
Whenever you "tick/unticks" a job, it will "tick/untick" all the other visible jobs on the same acceptance.
As they are meant to be produced in the same batch. (Same Acceptance process).



Notes
Should you have jobs in the same acceptance but are carried over on the second page.
Ticking the jobs on the same acceptance batch, will automatically ticked jobs on the second page. 



As per the screenshot below, looks like you only activate one job, but it's actually choosing the jobs on the second page.


Activate the first job here by checking the box on the left and click the ‘Activate’ button.



Select the jobs that you want to activate, and you will see dropdown like below.



On the ‘Submit Artwork’ page you can upload artwork or any supporting documents.
If there is nothing to upload, just click ‘Confirm’. You will be asked for the reason there is no artwork.
Add a note to continue:


Now the Jobs Are Ready.

Where to find the jobs

You can find jobs in the All Jobs Board.


A Draft Job will also show as Draft when you checked the filter.



Idea
The draft job will be greyed out.

You can click the ‘series’ arrow icon to bring up a list of additional recurring job options:


Series Details

Opens a screen listing all the job that are part of that series.
You can see the jobs in a group.


Clicking the summary view will show details of the jobs.
It works like our Job Details Page.



Activate / Remove Draft Jobs

The draft can be activated on the ‘All Jobs’ board by clicking the ‘magnifying glass’ icon and selecting
 ‘Activate Draft Job’ or 'Remove Draft Job'



Add Additional Recurring Jobs

You can also add more jobs directly from the quote.
Click on the ‘Series’ icon and select View quotes


From The Quotes, click the magnifying glass and click recurring jobs



This will open the recurring jobs screen where you can see the current drafts and jobs linked to this quote:

Enter the new details and continue using the next date in the sequence.
The job number will continue from where you left off.


Setting Restriction

Warning
If a site has the following setting enabled, the "Create Recurring Job" option will not be available.
