Quote Status Workflow


Quotes can be accepted by customers when in any status, except ‘Awaiting Approval’ as long as there is at least one priced product on it.

Only priced products are accepted. Any unpriced RFQs on the quote are ignored when the quote is accepted.



List of Statuses

  • In Process - Something on the quote requires action:
  • Quote has a non-priced product, OR
  • Quote has an open RFQ, OR
  • User of type 'Staff' adds or reprices a product, item or RFQ
  • Printed - See Awaiting Acceptance. It's the same, but instead of being emailed by a Staff, it has been Printed. This status is generated by internal staff users only.
  • Awaiting Approval - Quote requires approval because of the value
  • Awaiting Acceptance - Quote is ready to be accepted by the customer
  • Everything on the quote is priced, AND
  • There are no RFQs, AND
  • (either a Customer user performed the last action, to make it fully priced, OR
  • A Staff user has emailed the quote)
  • Accepted
  • Same as always - the quote has been accepted
  • Rejected
  • The quote has been rejected (with a reason given)
  • Discarded
  • The quote has been discarded and is no longer available



Workflow

  • When a product or RFQ gets added to a quote, or repriced (when quote is In Process, Printed or Awaiting Acceptance), if the quote:
  • Requires approval?
  • Status - Awaiting Approval
  • Has anything unpriced?
  • Status - In Process
  • Has any open RFQ?
  • Status - In Process
  • User is Staff?
  • Status - In Process
  • User is Staff and prints quote?
  • Status – Printed
  • User is Staff and emails the quote to the customer?
  • Status – Awaiting Acceptance
  • User is Customer, everything is priced, no open RFQs
  • Status - Awaiting Acceptance


NOTE: If the status was 'Printed' or 'Awaiting Acceptance', and changed back to 'In Process', we add a note

A 'Sales' note is added to the quote…




This note will be viewable as a hover on the 'Quotes' board




  • When a quote is In Process and the Quote Letter is printed
  • If everything is priced, no open RFQs
  • Status - Printed


  • When a quote is In Process or Printed and is then emailed
  • If everything is priced, no open RFQs
  • Status - Awaiting Acceptance


  • Once a quote is accepted, the status goes to 'Accepted' and stays there
  • If a quote is rejected, the status goes to 'Rejected' but the quote can still be accepted.
  • If a quote is discarded, it is no longer available in IQ.



Additional Functionality

History records on the quote are written for every status change.


Internal users can change a quotes’ status from the drop-down menu on each quote on the Quotes Board.


Only quotes with a status of In Process, Printed or Awaiting Acceptance can be updated to another one of these 3 statuses.

(Note: Accept, Reject and Discard remain in the upper level of the drop-down menu)
