Quote Approval/Pre-Approval in printIQ

Summary

When a quote’s value is greater than the Sales Person/Account Manager’s (AM) approval value, the AM is required to seek approval before sending the quote to their client.
In situations where a quote is created by a Senior Estimator for an AM’s customer, the Senior Estimator can now flag the quote as pre-approved during the quoting process.
This negates the requirement for the AM to open the quote, request approval if the quote total is greater than their Auto Approval Cost, and wait for the quote to be approved.
The AM is able to immediately send the quote to the customer without an approval request being auto-generated.

Alternatively, you can set up maximum/minimum auto-approval amounts from the Customers page.

How to Set up an Approval Trigger

  1. Navigate to the Customers details page.


  2. Click the Show More toggle as per the image below.
  3. Click toggle Quote max/min auto-approval cost.


Assign User as Quote Approver for Specific Customers.

You can assign a user to become a Quote Approver for specific customers.
Navigate to Admin -- Users -- View


Scroll down until you find the image below.
Please check that you ticked the role "Quote Approver".



Click Alternate Customers
Add customer via dropdown and tick the Can Approve check box.

 

Quote Approval Example When Amount is Greater Than "$x"

In this example, we want to trigger an approval process when the AM generates a quote with an amount of more than $15,000.
This means, that any quote with an amount less than $15,000 will be automatically approved.

1. Navigate to the Alternate Customers details page as per the above step.
2. Inside the Quote Max auto approval cost text field type in 15000



4. In this example, when the AM generates a quote via Simplified Sessions, and the amount is greater than $15,000, they can't complete the quote until the quote has been approved.


5. If you have multiple users mapped as a Quote Approver, a pop-up modal window will enable you to select which user should receive the approval request email.



6. Once the quote has been approved, the AM can complete the order.
Once the quote has been approved, the AM will receive an email.
