Markup Template - PDF Template Creator

Overview

The ‘PDF Template Creator’ allows users to configure and change their own PDF templates. These include the following template types:
  1. Quote Letters
  2. Invoice Letters
  3. Purchase Orders for Inventory 
  4. Purchase Orders for Outsourcing
  5. Production Job Bags
The ‘PDF Template Creator’ is available under ‘Admin/Application’ menu:




Or from under ‘Admin -> Configuration ->Customise’:


This opens the ‘Manage Reports’ board. There are various filters to choose from to view PDF reports:



  1. Type – Quote, Invoice, Purchase Order for Inventory, Purchase Order for Outsourcing, Production Job Bag.
  2. Site – the sites to link template to, which have been set up in your application.
  3. 'Search' for specific names.
  4. Show or Hide 'Inactive' templates.
  5. Show or Hide 'Locked' templates.
Reports become locked when they are edited in the mark-up template admin back-end screen.

A locked report is greyed out and has a lock icon next to it:



When a template is locked, it is no longer fully editable in the PDF template creator. Only the Details tab will show and can be updated.

A Preview of a template will display on hover of the image icon.

When the History icon is clicked, a history screen loads where records can be viewed on which users created and updated the template:



All reports can be edited via the Edit icon:




Create a new report/template

To create a new report or template, click the plus icon at the top of the screen:



Select the ‘type’ of report to create:



The following steps are:
  1. Give the new template a name.
  2. Add a 'file name' which will be applied when the PDF file is downloaded. This is optional.
  3. Select a site(s) to map the template to:


Click ‘Next’ to begin building your template and move through the tabs inside the report wizard. These tabs are:


Details

On the first tab named ‘Details’, enter a template name and select a site or sites where this template will be accessed from:



Select a ‘Header’ option from the screen (examples shown are from a ‘Quote’ template):  



As you change selection, the preview on the right will update:




Body

Move to the next tab to select the ‘body’ component for the template:



Move to the next tab to select the ‘footer’ of the template:



There is a Quote Footer field on the Site Details screen where a line of code can be added and displayed in some of the quote footer options.
This can be used on Quote Footer component options 1, 2 3 and 5.

Below is an example of the code to be entered in this field:
  1. <div style="margin-bottom:10px;">TEXT FOR THE FOOTER IS PLACED HERE. Used when an extra line of text is required in the quote footer..</div>

Preview & Save

Finally move to the preview tab. This will show the result of the report created with the previous component selections. 
Additional adjustments can be made to the fonts, colours and page counters. Changes can also be made to height of the header and footer components:




In the top right an existing Quote, Invoice, Purchase Order or Job number can be entered to see an ‘real’ preview.  This will display the actual data from the entered record.
Once the template has been saved, the printer icon becomes active and templates can be printed to PDF from within the template creator:



Changing basic styles, colours and options

Fonts and colours used can be changed to suit your corporate identity/brand:




Fonts and colours can be changed to options available inside the wizard, except the table borders. These will remain grey.
Colours can be selected from the colour frame, or the colour code can be entered.


Page Counter control

The ‘Page Counter’ controller gives 3 options for page counter placement:


Default – places the page number into the default position on the template

Hidden – this option hides the page counter from the template entirely

Custom – gives users the ability to place the page number wherever they wish on the template by setting the x and y positions.

Format
{Page} of {TotalPages}

The above wording can be adjusted. 

For example, the page counter can be adjusted to display differently. The below example displays as ‘1 of 3’ on the template if a document has a total of 3 pages. 

If it were changed to {Page}/{TotalPages} it would display as 1/3 on the template.



A ‘Height’ controller gives users the ability to set the height of the header and footer of a template. Changes to the header and footer height will not be displayed in the Preview.

HTML

Each option can be manually edited in HTML. You will need some basic coding knowledge to make adjustments.
Hovering on the ‘i’ icon will display information on different CSS classes that can be added to your HTML elements for theme options to take effect:





The code on templates can be ‘Reset’ to original state by clicking the ‘Reset HTML’ button:



The ‘View Model’ option displays data that can be applied to the templates, and the placeholders that can be added to the templates, for the different reports:
