Order Pickup E-mails


The ‘Ready to Pickup’ email gives printIQ users the ability to notify clients when an order is complete and ready for pickup.


For a ‘Pickup’ order, when the status is updated to Finished Production, this changes the dispatch status from Pending to Move to Pickup.

A staff member will then take the order to the collection point and the dispatch status will need to be manually updated to Ready to Pickup. When this is done, the email ‘Ready to Pickup’ can be sent to the customer or dispatch contact (depending on configuration) to notify them their order is ready for collection. 

The dispatch email tick box must be selected for the Ready to Pickup email to be sent. Users can deselect this check box if they do not want the dispatch email to be sent.

After the customer picks up their order the Dispatch status will need to be manually updated to Dispatched. Another email can be sent to update the customer/dispatch contact (depending on configuration). This time, the email called ‘Pickup Collection Confirmation’ will be sent out.

This email replaces the Delivery Dispatch email on orders for pickup.

Site must be set to Freight by Cart for this functionality to work


Set up

The contact these emails are sent to is driven by the configuration of the setting Dispatch Email Recipient and it determines who the recipient will be. Options on the 'Delivery Email recipient' setting are:
  1.  Never Send
  2. Send to Quote Contact
  3. Send to Dispatch Contact
  4. Send to Default Dispatch Contact
  5. Send to Customers email

     Dispatch Email Recipient is a global back-end setting which must be configured by IQ admin. On the front end, the setting can be overridden at a customer or site level:

The email templates can both be found and modified under Admin > Application > Email Templates:

User Stories

  1. As a customer, I want to be notified when my order is ready to pick up, so I know when to come and collect it.
  2. As a dispatcher, I do not want the customer to be notified before I have the finished product in the dispatch area and ready for collection. This is referring to when an order is at ‘Finished Production’ status but hasn't yet arrived in the dispatch area.
  3. As a dispatch user, I want to be able to mark a job as ‘Ready to Pick Up’ when it is fully completed and packaged, so the customer knows it is ready for collection.
If your printIQ instance has the Dispatch Status ‘Customer Pickup’ and not ‘Move to Pickup’, we recommend updating this. To get this updated, please contact support.
